We, the Organisers at Wild North Events Ltd, take the protection of your personal information seriously, and we respect the privacy of our attendees. This Privacy Policy explains the personal information we collect from visitors to our registration page, how we use this information, the conditions under which we may disclose it to others, and how we keep it secure.

Who are we?

We are Wild North Events Ltd, a not-for-profit company limited by guarantee, registered in England with company number 11549220. Our registered address is 27 Old Gloucester Street, London, WC1N 3AX (no correspondence to this address please).

When we collect information about you

We collect personal information about you when you register for our convention. This information will only be collected and processed if you provide it voluntarily when registering.

What information we collect

As part of the registration process, we may collect information such as your name, postal address, and email address.

How your information is used

We may use your information to:

  • process registrations for attendance at our events;

  • contact you in case of emergency;

  • relay messages, on a personal basis, when we cannot relay said messages in person;

  • notify you of changes to our services;

  • identify and return lost property;

  • produce statistical summaries for publication or to improve our services.

Who has access to your information?

Only the Organisers at Wild North Events Ltd, and their duly appointed Data Processor, will have access to your information, and only for the purposes listed above.

We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes.

We will not contact you for marketing purposes by email or by post.

We may transfer or share your personal information to a third party if required to comply with any legal obligation. However, we will take steps to ensure that your privacy rights continue to be protected.

Updating and accessing your information

The accuracy of your information is important to us. You can update the information we hold while event registration is open by logging into our registration system using the login details you selected. If you wish to update your information outside of this timeframe, or have forgotten your login credentials, please contact us via email at events@wildnorth.uk. You have the right to ask for a copy of the information which Wild North Events Ltd holds about you. We may charge an administrative fee for information requests, to cover our costs in providing you with this information.

Precautions to prevent the misuse of your information

Our Data Processor has implemented numerous technical and organisational measures to ensure the most complete protection of the personal data processed through this registration system. The server location of the registration system is in Germany.

Once we receive your information, we make our best effort to ensure its security on our systems. The registration system uses SSL encryption to protect the transmission of sensitive content.

Where you have chosen (or we have given) a password which enables you to access certain parts of our registration system, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Information will be transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.

We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant convention or event. Unless you permit us to retain this information, once this relevant period has ended, we delete the information.

Transferring your information outside of the United Kingdom after Brexit

Your information will continue to be protected now that the United Kingdom has left the European Union with a formal agreement (“Brexit”). Your information will be protected when transferred to any duly appointed Data Processor in the European Economic Area. The United Kingdom Government has stated that, following the United Kingdom’s exit from the European Union, authorised transfers of information from the United Kingdom to the European Economic Area will continue to be permitted. Similarly, the European Commission has determined that the United Kingdom offers an “essentially equivalent” level of data protection to the European Union (this is also known as “adequacy”).

Transferring your information outside of the European Economic Area

We will not transfer your information outside of the European Economic Area without your explicit consent.
